The record below sets out the successive phases of the firm's operations, the events that shaped its examination standard, and the extension of its contracting footprint across Canada.
1997
Constitution of the undertaking
Rutalien Corporate Physical Services Inc. was constituted on 14 March 1997 in Toronto, Ontario, formed by three principals drawn from exhibition contracting and commercial credit examination. The original mandate was narrow: to contract raw floor plate from Ontario exhibition centres and sub-allocate fitted counter units to small and mid-market Canadian manufacturers who could not negotiate directly with organisers.
1998 – 2002
Ontario and Quebec operations
The firm extended into Montreal and Quebec City and registered with the Registraire des entreprises du Québec. Documentary examination of the contracting party was introduced in 1999 following two defaults on fitted-counter accounts, and the examination file — legal standing, trading history, financial capacity and tax position — became a condition precedent to every allocation from that year forward.
2003
Federal continuance
The corporation was continued federally under the Canada Business Corporations Act on 22 September 2003, permitting the firm to contract in every province on a single corporate identity. Extra-provincial registrations were completed in British Columbia and Alberta in the same fiscal year.
2004 – 2009
Western expansion and overseas delegations
Vancouver and Calgary offices were opened to service resource, agricultural and industrial equipment exhibitions. Overseas participation grew from a small proportion of allocations to roughly a third of contracted counters, which required the firm to formalise delegate registration: named individuals, employer of record, passport particulars and a signed personal undertaking held on the sponsor's file.
2010 – 2015
Serialization of instruments
The firm replaced letter-form confirmations with serialized, barcoded attendance instruments carrying a unique reference and an independent verification facility. Organisers, venue operators and counterparties were, for the first time, able to confirm the standing of a delegation at the point of presentation rather than relying on paper produced by the bearer.
2016 – 2020
Examination standard raised
Following sector-wide concerns over exhibition access being obtained on unverified corporate substance, the firm raised its documentary standard to require notarised and, where the jurisdiction demands it, authenticated originals, together with beneficial ownership disclosure and confirmation of the tax position. Refusal and withdrawal rates rose materially and have remained so; the firm regards that as evidence the standard is functioning.
2021 – 2023
Recovery and re-contracting
Following the suspension of large-format exhibitions, the firm re-contracted floor inventory across nine provinces and rebuilt its calendar around buyer conferences, corporate shows and sector trade fairs. Every allocation from this period forward is documented under a written participation agreement covering position, build specification, freight and attendance.
2024 – present
Present operations
The firm contracts counter, table and pavilion inventory at 24 exhibition centres in 9 provinces, carries 11 examining officers within an establishment of 87, and has received delegations originating in 68 countries. Files are examined in the order they are perfected and no allocation is released ahead of examination.
